Children & Student Data Privacy
School Circle Network is a community coordination platform, not a student information system. Parents may add a child name, school, grade, and teacher relationship to their own account for relevant forms and school features.
Who can see student information
A parent can manage their own children. A school or PTO leader may see information submitted to an organization form when that access is needed to review the submission. Student records are not published as a public directory.
Parent choices
Parents can update or archive child records in their account and can use the privacy request process for access or deletion questions.
School-provided data
Any separate school or district agreement must be reviewed on its own terms. This page does not claim that an agreement exists where none has been published.
How We Collect Your Child's Name
A child record on School Circle Network is created in exactly one of two ways, and never any other way:
- You add your child yourself. From your own account, you enter your child's name, school, and grade. You can edit or delete this record at any time.
- A teacher adds a class roster entry. A teacher or staff member may add a name-only roster entry for their class. That entry has no effect on its own — it is never shown to anyone as "your child's data," and it is never automatically matched to your account by name. You must explicitly claim it as your own child before it becomes part of your account.
There is no third path: School Circle Network never imports student records from a school's own student information system, and no student ever has their own login — a child's information is only ever entered by an adult (you or your child's teacher) and only ever controlled from an adult's own account.
Why We Only Ask for a First Name and a Last Name or Last Initial
Whether you or a teacher enters your child's name, the Service only ever needs enough of a name to tell your child apart from your other children, or from other children on the same class roster or team — it does not need, and never asks for, your child's full legal name, date of birth, or any government identifier.
Because this field is free text that you (or your child's teacher, for an unclaimed roster entry) control directly, you are always welcome to enter just a first name and a last initial instead of a full last name — for example, "Emma S." instead of "Emma Smith." The Service works exactly the same way either way, and we never require, request, or reject either format. Whatever is entered is simply what shows up wherever that record is used, such as a volunteer sign-up, a team roster, or a shop order tied to your child.
This same explanation, along with the full list of student-data categories the Service does and does not collect, is also set out in Exhibit A of the Student Data Privacy Agreement, available from the Trust Center.
